Job Title: Digital Adminstration and Marketing Assistant
Responsible to: Digital Commercial Manager - Colchester
Location: Colchester

Main Objectives :

Job Requirements :

  • To take all Digital bookings from the digital team and print team
  • Outsource all artwork to 2adpro based on the clients instructions and brief from team
  • To complete all administrative functions as required by the company.
  • To manage incoming and outgoing mail (including e-mail) on behalf of the Digital Commercial Manager to minimise unnecessary paper handling.
  • Compile and input expenses, mileage, absence reports in conjunction with the Digital Commercial Manager
  • Produce rate packs for staff as and when required.
  • Produce in-depth reports for Digital and Print team as and when required
  • Check DFP reports on a daily basis and encourage print reps to up sell when clients are getting a good result on smaller campaigns.
  • To liaise with external and internal customers on behalf of the Digital Commercial Manager as and when required.
  • Territory Audits – update from information provided.
  • Handle customer enquiries quickly and efficiently ensuring they are passed to the appropriate department as applicable.
  • Ensure Customer complaints are handled sympathetically and resolved amicably to maintain customer loyalty.
  • To attend monthly staff council meetings in Basildon and Colchester company and departmental meetings and training sessions as required and on time.
  • Have a full working knowledge of the computer system.
  • Ensure that good working relationships are maintained within the department and with all other departments.
  • Assist the Accounts Department with any queries.
  • Become multi-skilled within the department in order to assist all colleagues.
  • Amend bookings for Display/Motors/Property which are past-deadline, proformas etc.
  • Amend bookings for the above during campaigns
  • Download full in-depth reports from the DFP system for clients end of month campaigns
  • Book house adverts for the Digital Commercial Manager
  • Provide booking advice to all satellite offices and amend their bookings.
  • Check for upload/copy queries on ad manager for each URN
  • Check and ensure all campaigns booked have started and are delivering
